Overview

Scientific Dictionary Package™ (SDP) Standard Edition for Microsoft Office 2000, Office XP, Office 2003 and Office 2007 Version 0.2.0.9 is a comprehensive scientific spell check program for the life, physical, and applied sciences. It augments the Microsoft Office spell checker with a database of over 1.8 million terms from the United States National Library of Medicine (NLM), the National Center for Biotechnology Information (NCBI), and several technical databases from Cambridge Scientific Abstracts (CSA). SDP 2.0 comes equipped with multiple custom spell check dictionaries, categorized by content, for example, chemical terms, author names, etc. After installing SDP, the user selects the SDP databases to be activated. Once activated, the SDP databases are automatically added to the native Microsoft Office spell checker and are called whenever the spell checker is used in any Office program. The advantages of SDP are 1) it eliminates false errors by recognizing scientific and technical terms not recognized by Microsoft Office, 2)identifies misspellings of scientific and technical terms, and 3) saves countless hours of proofreading time and improves manuscript quality.

SDP supports all languages installed in Microsoft Office.

Latest Version of SDP

The latest version of Scientific Dictionary Package™ (SDP) Standard Edition for Microsoft Office 2000, Office XP, Office 2003 and Office 2007 is posted on Download Full Version page. Please go to www.sciproof.com, login and go to Downloads > Download Full Version (located on the web site navigation toolbar) and download the appropriate version from the Full Version page.

System Requirements

The following are required for successful installation of SDP:

  • 80 MB hard drive space.
  • Minimum 512 MB RAM recommended for optimal software performance.
  • Microsoft Office 2000 (Word 2000), XP (Word 2002), 2003 (Word 2003), 2007 (Word 2007).
  • Microsoft Windows: 98, 98 Second Edition, Millennium (ME), NT 4.0 Workstation, 2000 Workstation, Windows XP, and and Windows Vista.

Installation of SDP

IMPORTANT: All Microsoft Office applications (including Outlook and Outlook Express) must be closed in order to install SDP.

To install SDP on your computer, run the installer and the wizard will guide you through the installation process. If you need to re-download the software, please follow the instructions to download the latest version of SDP. If installation does not detect the installation location of Microsoft Word, a dialog will be shown where user needs to find the WINDWORD.EXE file and then proceed with installation.

SDP Activation

Scientific Dictionary Package™ (SDP) Standard Edition v.0.2.0.9 for Microsoft Office 2000, Office XP, Office 2003 and Office 2007 must be activated before it can be installed. During installation, you will be prompted to enter your SCIPROOF username and password. The installation wizard will then connect to the SCIPROOF server, verify your account, generate an activation key, and activate the software automatically. If there are problems connecting to the SCIPROOF server, you will be prompted to proceed with manual activation. Instructions for manual activation are listed in the installation dialogs and on the Product Activation page.

SDP Features

SDP adds several scientific spell check dictionaries to the native Microsoft Office spell checker. Please see the SDP Options section to learn how to manage the SDP dictionaries.

SDP Example Document

SDP comes equipped with an "Example Document" that was designed to demonstrate all features of SDP. To open this document, click the "SDP Example Document" button located on the Word toolbar. Please follow the instructions listed in the document.

Options: Management of SDP Custom Dictionaries

SDP comes equipped with multiple custom spell check dictionaries, categorized by content. After installing SDP, the SDP dictionaries must be activated via the SDP Options dialog, located on the Microsoft Word toolbar. The available SDP dictionaries are listed in the SDP Options dialog. The type (words or abbreviations) of terms in each dictionary and the status (active/inactive) are listed to the right of each SDP dictionary. The activated SDP dictionaries are automatically added to the native Microsoft Office spell check database and are accessed through Microsoft Word (Tools > Options > Spelling & Grammar tab > Custom Dictionaries button) and the SDP Options dialog. Through the SDP Options, the user can add, remove, activate or deactivate any or all of the SDP dictionaries.

Controls

  • SDP Dictionaries list. This list shows the available SDP dictionaries. The type (words or abbreviations) and status (active/inactive, "[good]", "[new]", "[deleted]", "[invalid]", etc.) is listed to the right of each dictionary.

    Label Definitions
    [new] Dictionary was newly added and will become active when the changes are applied.
    [good] Dictionary is valid and active.
    [deleted] Dictionary is marked to be deleted and will be deleted when the changes are applied.
    [invalid] SDP was not able to use this dictionary because the file may be corrupted or in an unrecognized format.
    [unknown] Dictionary is not active so its status is not defined.
    WORDS Dictionary contains words.
    ABBRS Dictionary contains abbreviations.

  • Activate SDP dictionaries option. Check this option to activate all SDP dictionaries and uncheck to deactivate all SDP dictionaries.

  • Set SDP dictionaries as default option. Check this option to activate SDP dictionaries for the spell checker in all Microsoft applications, Powerpoint, Excel, etc.

    Important

    If this option is changed, user needs to re-start (close and re-open) any open Office application for changes to take effect.

    Warning

    This may cause long pauses when adding new words to the Microsoft Word custom dictionary. Please see Long Pauses in Troubleshooting section.

    It is recommended that this option is not selected if you do not need the extended vocabulary in other Office applications.

  • Office 2007 only: Remove deleted dictionaries from custom dictionaries list option. Check this option to force SDP to remove deleted custom dictionaries from the list.

  • Total Words. This is the total number of words and abbreviations of all SDP dictionaries added to the Microsoft Office spell checker.

  • Add Dictionary ("+") button. Adds new SDP dictionary. Click the '+' button or press INSERT key, select the dictionary to be added from the open dialog, and the new dictionary will be added to the list of active dictionaries. The [new] label will appear next to the dictionary and will be activated when the user clicks "OK".

  • Activated. Select the dictionary from the list, check this option to activate individual SDP dictionaries. The SDP dictionary to be activated must first be selected (highlighted). Uncheck this option to deactivate the selected SDP dictionary. SDP dictionaries can also be activated/deactivated by selecting the dictionary and pressing the SPACE key or double clicking on it.

  • Language. This menu allows the user to change the language setting for each SDP dictionary. English is the default setting for all SDP "WORDS" dictionaries. Please change the SDP "WORDS" dictionaries language settings to match your language settings in Microsoft Word or SDP terms will not be recognized. We highly recommend that only one language is set for each document. To do this, select all text in your document and select a language with the "Set Language" button in Word ( Tools > Language > Set Language... ).

  • Issued. This is the date the SDP dictionary was last updated.

  • Version. This is the version of the SDP dictionary currently installed on your computer.

  • GUID. This is the Globally Unique Identifier or a unique number used to identify each SDP dictionary.

  • Words. This is the total number of words or abbreviations in each SDP dictionary.

  • Full Path label. This label displays the full path of the selected dictionary from the dictionaries list.

  • Description label. This label displays a description the contents of each dictionary.

  • Remove Dictionary ("-") button. Deletes SDP dictionary from the list. Select dictionary from the list and click "-" or the DELETE key. The [deleted] label will appear next to the dictionary and will be removed from the list when the user clicks "OK".

All changes will be applied after user clicks the "OK" button.

Uninstalling SDP

IMPORTANT: All Microsoft Office applications (including Outlook and Outlook Express) must be closed in order to uninstall SDP.

To uninstall SDP from your computer, run the uninstaller and the wizard will guide you through the uninstallation process. To run the uninstaller please go to Start > Control Panel > Add/Remove programs. Find the Scientific Dictionary Package™ (SDP) Standard Edition v.0.2.0.9 in the list and choose uninstall. This will completely remove SDP from your computer.

Troubleshooting

Problem : SDP toolbars are absent.

  • The SDP toolbar is hidden. To resolve this, open Word, go to TOOLS > Customize > Toolbars, find SDP in the list and put a check in the box to make the SDP toolbar visible in Word.
  • The SDP toolbar is absent. To resolve this, please proceed with the following:
    • Confirm that the 'SDPStartUp.dot' file was not deleted. It should be located in the 'C:\Documents and Settings\USERNAME\Application Data\Microsoft\Word\STARTUP\' folder. Please check this.
    • Open Microsoft Word.
    • Go to Help > About Microsoft Office Word to open the 'About' dialog.
    • Click the 'Disabled Items' button to open the list of disabled items.
    • Find 'SDPStartUp' in the list, select it and click the ‘Enable’ button.
    • Close all dialogs.
    • Re-start Word, and the SDP Toolbar should be present.

Problem : Long pause when adding terms to Microsoft Word.

When a user adds terms to Microsoft Word (clicks the "Add to Dictionary" button) the terms are added to the default custom dictionary. After the custom dictionary has been updated, Word reloads it. If SDP custom dictionaries (for example: SDP-Abbrs.Total.0.0.dic from "All Languages" hive or SDP-Word.Total.0.1033.dic from "English (U.S.)" hive) are set as the default, then one of the SDP dictionaries will be updated and reloaded. Reloading one of the SDP dictionaries will product "long pause" because SDP dictionaries are very large.

Possible solutions:

  • The first possible solution is to reduce the size of the SDP custom dictionaries by deactivating unnecessary dictionaries.
  • If there are no unnecessary SDP dictionaries, then the SDP dictionaries need to be prevented from being the "default". To do this, open the SDP Options dialog, clear "Set SDP dictionaries as default" checkbox and click OK to apply the changes.

    NOTE: Only words from the default dictionaries will be available in other office applications (OutLook, Power Point, etc). Please make sure that this option is checked if you need the extended vocabulary in other Office applications.

    Tip

    How to determine the default dictionaries: Open Word, Office button > Word Options > Proofing > Custom Dictionaries button. The default dictionaries are marked with the "(default)" label. See Figure 1 as an example.

    If there are SDP dictionaries only (as shown in Figure 2 under the "English (U.S.)" hive), then click the "New..." button (marked by red arrow on the screenshot), specify the name of the new custom dictionary (it must be different than the existing dictionaries) and click OK.

    After this, the new dictionary will be added, most likely under the "All Languages" hive. Make sure that the proper language is set, in our case "English (U.S.)". Set this on the "Dictionary language" combobox (see Figure 3 as an example, marked by blue arrow).

    After selecting the new dictionary in the list, click the "Change Default" button (marked by red arrow). After this step, the new dictionary should be placed into "English (U.S.)" hive and marked as "(Default)" (marked by green arrow in Figure 4).

    This procedure needs to be repeated for all hives that do not have a default, non-SDP dictionary.
